EMPLOYMENT OPPORTUNITY ANNOUNCEMENT

POSITION TITLE:   Office Administrator

POSITION LOCATION:  TWA Headquarters Office, New Braunfels
HOURS:  8:00 a.m. – 5:00 p.m.
TERM:   At Will
INTERVIEWERS:  Quita Hill, Director of Finance and Operations

                                                        

Job Duties

Administrative and Office Support
Operate phone system and incoming calls
Open, sort and distribute mail
Respond to general TWA email
Provide management and maintenance of office equipment, office supplies and kitchen/bathroom supplies
Responsible for organizing and setting up lunch for Executive Committee meetings
Prepare, assemble, and mail documents for Executive Committee packets and attend meetings, as directed by CEO
Assist Director of Finance and Operations with preparing daily bank deposits and processing credit card information
Coordinate details for all meetings and handle RSVPs for various events
Responsible for kitchen, workroom and conference room areas 
Facilitate shipping/receiving for all departments, including Internet sales, volunteer projects, and in-house merchandise sales
Provide administrative support to the three TWA program areas of TWA (Hunting Heritage, Conservation Legacy, and Issues & Advocacy)

Annual Convention

Process and coordinate all convention registrations, exhibitor registrations, and sponsor registrations (data entry) prior to event and on site
Process check-out procedures at convention following Silent and Grand Auctions (data entry)
On-site communication and interaction with attendees


Selection Criteria

Ability to professionally and courteously answer telephones, requests of members, applicants, and volunteers, and become knowledgeable about TWA’s educational programs and events
Skilled oral and written communication, knowledge of written English, including grammar and punctuation, with an ability to effectively communicate with staff and visitors in a courteous and professional manner
Ability to use personal computers with word processing, spreadsheets and database management software including Microsoft Word, Excel, Power Point, and have Internet and email experience
Ability to maintain flexibility, work with frequent and constant interruptions, and manage changing and multiple priorities
Ability to manage time effectively, organizing and completing multiple tasks simultaneously
Ability to be a ‘self-starter’, work independently with minimal supervision, and exercise initiative in accomplishing tasks
Ability to demonstrate good work habits, including being reliable, punctual, efficient and the ability to follow instructions
Ability to maintain records and files and assist with preparation of reports and correspondence
In general, ability to assist with all of TWA’s activities and programs in a team and family-oriented, cooperative spirit toward all involved

Some skills tests will be administered
Must have professional, cooperative, and family-oriented office and public demeanor
