POSITION TITLEOffice Administrator

COMPENSATION: Salary, commensurate with experience

POSITION LOCATION: TWA Headquarters Office, San Antonio

HOURS: 8:00 a.m. – 5:00 p.m.

TERM: At Will

SUPERVISOR: Quita Hill, Director of Finance and Operations

Job Duties

Administrative and Office Support

  • Operate phone system and handle all incoming calls
  • Open, sort and distribute mail
  • Coordinate details for committee meetings, including packet preparation and distribution, catering needs, and RSVPs
  • Provide administrative support to the Chief Executive Officer
  • Assist Director of Finance and Operations with preparing daily bank deposits and processing credit card information
  • Facilitate shipping/receiving for all departments, including Internet sales, volunteer projects, and in-house merchandise sales
  • Provide administrative support to the three program areas of TWA (Hunting Heritage, Conservation Legacy, and Issues & Advocacy)
  • Manage and maintain office equipment, office supplies and kitchen/bathroom supplies, and general physical office operations
  • Other duties as assigned

Annual Convention and Special Events

  • Process and coordinate all registrations, exhibitor registrations, and sponsor registrations prior to events and occasionally on-site (Annual Convention)
  • Process purchases and check-out procedures on-site
  • On-site communication and interaction with attendees

Selection Criteria

  • Database Management Experience Preferred
  • Ability to professionally and courteously answer telephones, requests of members, applicants, and volunteers, and become knowledgeable about TWA membership,  educational programs, and events
  • Skilled oral and written communication, knowledge of written English, including grammar and punctuation, with an ability to effectively communicate with staff and visitors in a courteous and professional manner
  • Ability to use personal computers with word processing, spreadsheets and database management software including Microsoft Word, Excel, Power Point, and have Internet and email experience
  • Ability to maintain flexibility, work with frequent and constant interruptions, and manage changing and multiple priorities
  • Ability to manage time effectively, organizing and completing multiple tasks simultaneously
  • Ability to be a ‘self-starter’, work independently with minimal supervision, and exercise initiative in accomplishing tasks
  • Ability to demonstrate good work habits, including being reliable, punctual, efficient and the ability to follow instructions
  • Ability to maintain records and files and assist with preparation of reports and correspondence
  • In general, ability to assist with all TWA activities and programs in a team and family-oriented, cooperative spirit toward all involved

  • Some skills tests will be administered
  • Must have professional, cooperative, and family-oriented office and public demeanor
